The challenge
Bondi Junction Physio Group was losing a meaningful chunk of billable hours to no-shows and late cancellations, with no reminder system beyond a receptionist manually calling clients the day before — a job that ate half a morning and still missed people who didn't answer.
What we built
- Automated intake forms sent the moment a booking is made, so paperwork is done before the client arrives
- An AI model trained on past booking patterns that scores each appointment's no-show risk, so at-risk bookings get an extra reminder instead of the same generic sequence for everyone
- A reminder sequence — SMS and email — at 48 hours and 3 hours before each appointment, with a one-tap reschedule link
- Automatic waitlist fill: a cancelled slot pings the next person on the waitlist instead of sitting empty
The result
No-shows dropped by around 40% in the first two months. Because the AI model concentrates extra follow-up on the appointments actually at risk, the clinic didn't need to bombard every client with reminders to get the result — and the front desk got back the better part of a morning each week that used to go to manual reminder calls.
